Everything you need to learn, teach, and manage training on the TPC Academy platform — for learners, trainers, and administrators.

1.Introduction

The TPC Postal Learning Academy is the official online training platform of Posta Tanzania (Shirika la Posta Tanzania). It lets postal employees and partners around the world learn anytime, track their progress, earn certificates, and stay up to date with professional courses.

This manual explains every part of the system in simple steps. Sections that apply only to certain people are marked:

Learner features available to all logged-in users. Admin/Trainer features that need management permissions.

Who should read this? Learners (students/staff), trainers (teachers), and site administrators. Start with the sections relevant to your role — the Table of Contents links jump straight to each topic.

2.Getting Started

2.1 What you need

  • A device with internet: computer, tablet, or smartphone.
  • A modern web browser (Google Chrome, Microsoft Edge, Firefox, or Safari).
  • Your account details (username & password), provided by your administrator.

2.2 Opening the platform

  1. Open your web browser.
  2. Go to https://elearning.posta.co.tz.
  3. The Home page opens, showing the welcome banner and available courses.

2.3 Logging in Learner

  1. Click Login on the top-right of the navigation bar.
  2. Enter your username and password.
  3. Click Log in. You are taken to your Dashboard.
Forgot your password? On the login page click “Forgotten your username or password?” and follow the email instructions, or contact your administrator.

2.4 Logging out

Click your profile avatar (top-right), then choose Log out. Always log out on shared or public computers.

3.The Home (Front) Page

The Home page is the public landing page. It contains the following areas, top to bottom:

5.Your Account & Profile Learner

Click your avatar on the top-right to open the profile menu. From here you can:

  • View profile — see your details, courses, and activity.
  • Edit profile — update your name, email, photo, and other information.
  • Preferences — change language, notifications, and account settings.
  • Grades — review your results across courses.
  • Log out — securely end your session.

5.1 Changing your password

  1. Open the profile menu → Preferences.
  2. Under User account, click Change password.
  3. Enter your current password, then the new password twice.
  4. Click Save changes.

5.2 Updating your profile photo

  1. Open the profile menu → Edit profile.
  2. Scroll to User picture and drag-and-drop a photo, or click to upload.
  3. Click Update profile.

6.The Learning Dashboard Learner

The Dashboard is your personal home after login. It is organised into two columns on wide screens:

6.1 Top banner

  • Greeting with your name.
  • Statistics: total Courses, In progress, and Completed.
  • Continue learning, My courses, and Explore buttons.

6.2 Left column

  • More of your courses — quick cards for your recently opened courses with Open course.
  • Recommended courses — suggestions you may want to take.
  • Admin/Trainer Analytics panels — system statistics and quick links (only for managers).

6.3 Right column

  • Timeline — upcoming activities and deadlines. Filter by date range or sort.
  • Calendar — a month view of events and due dates.
On phones and tablets the columns stack: your courses appear first, with Timeline and Calendar below.

7.My Courses Learner

Open My courses from the navigation bar to see every course you are enrolled in. You can:

  • Search and filter (e.g., In progress, Completed, Starred).
  • Switch between card, list, and summary views.
  • Click any course to open it.

8.Working Inside a Course

8.1 Course layout

  • Course title banner at the top.
  • Course tabs (Course, Settings, Participants, Grades, Reports…). When the screen is narrow, extra tabs collapse into a More button.
  • Course index drawer (left) — an outline of sections and activities for fast navigation. Toggle it with the menu button.
  • Sections — the course is divided into topics/weeks. Use Collapse all / Expand all.
  • Blocks drawer (right) — extra blocks and tools.

8.2 Opening activities

  1. Open the course.
  2. Click a section to expand it (if collapsed).
  3. Click any activity or resource (e.g., a lesson, quiz, or file) to begin.

8.3 Marking completion

Some activities show a completion checkbox or tick. It may complete automatically (when you view/finish it) or you may mark it done manually. Completion feeds your progress bars and certificate eligibility.

9.Activities & Resources

Courses can include many activity types. The most common are:

10.Grades & Progress Learner

  • Course grades: inside a course open the Grades tab to see your scores.
  • All grades: open the profile menu → Grades for results across every course.
  • Progress bars on course cards and the dashboard show how far you have gone.

11.Certificates

The Academy issues professional certificates (TPC Postal Learning Academy Certificate) when you complete qualifying courses.

11.1 Earning a certificate Learner

  1. Complete all required activities in the course.
  2. Open the Certificate activity in the course.
  3. Click Get / View certificate. Your name, course, date, and grade are filled in automatically from the system.

11.2 Downloading & printing

The certificate opens as a PDF. Use your browser’s download or print button to save or print it. A copy may also be emailed to you automatically.

11.3 Verifying a certificate

Each certificate has a unique code and a QR code. To verify authenticity, scan the QR code or enter the code on the certificate verification page. A genuine certificate shows the holder’s name and course.

“Not verified” is normal until a certificate has actually been issued — the code only becomes valid after a learner downloads it.

12.Communication & Support

  • Notifications — the bell icon shows alerts (grades, deadlines, messages).
  • Messages — the message icon lets you chat with trainers and peers.
  • Forums — course discussions.
  • Help chat — the floating chat widget answers common questions.
  • WhatsApp — the WhatsApp button connects you to the support team.

13.Language, Dark Mode & Mobile

  • Language: use the EN / SW switch in the top bar to read the site in English or Kiswahili.
  • Dark mode: click the moon/sun icon to switch between light and dark themes. Your choice is remembered.
  • Mobile: the platform is fully responsive. Menus collapse into a toggle button, and sections stack for small screens.

14.For Trainers & Administrators Admin/Trainer

Managers and trainers see extra tools. These require the appropriate permissions.

14.1 Site administration

Open Site administration (from the navigation bar or /admin) to reach all management settings, organised into tabbed sections.

14.2 Admin dashboard analytics

Administrators see analytics panels on the Dashboard: totals for students, staff, courses, categories and learners, plus enrolment charts and quick links to recent courses and users.

14.3 Managing categories & courses

  1. Go to Site administration → Courses → Manage courses and categories.
  2. Create a category (subject area) — these appear in the Training Fields menu.
  3. Inside a category, click Create new course, fill in the details, and Save.
  4. Add activities and resources with Edit mode turned on.

14.4 Enrolling users

  1. Open the course → Participants.
  2. Click Enrol users, choose the people and a role (e.g., Student/Teacher).
  3. Click Enrol.

14.5 Adding a certificate to a course Admin/Trainer

The Academy uses the Custom certificate activity (mod_customcert) to issue the branded TPC certificate. Adding a certificate has three stages: (A) make sure the plugin is ready, (B) add and design the certificate, and (C) control when learners receive it.

A. Confirm the plugin is installed (one-time, Administrator)

  1. Go to Site administration → Plugins → Plugins overview.
  2. Check that Custom certificate appears in the list. If it does, skip to stage B.
  3. If it is missing, install it from Site administration → Plugins → Install plugins (upload the plugin ZIP) and follow the upgrade prompts, then Purge all caches.
Already set up for TPC. On the Academy the Custom certificate plugin and the TPC template are pre-installed, so most trainers can start at stage B.

B. Add and design the certificate

  1. Open the course and turn on Edit mode (top-right switch).
  2. In the section where you want it, click Add an activity or resource.
  3. Choose Custom certificate from the activity list.
  4. Give it a Name (for example, “Course Completion Certificate”) and an optional intro, then click Save and display.
  5. On the certificate page click Edit certificate to open the designer.
  6. Set the page orientation/size (TPC uses Landscape, A4) to match the template.
  7. Upload the background image: add a Background image element (or set it in the page settings) and select the official TPC certificate background.
  8. Add dynamic elements from the “Add element” dropdown and position each one over the background by dragging or by entering X/Y coordinates. Click Save changes after each.

The dynamic elements pull their values automatically from the system at download time:

Text / ImageFixed labels, signatures, or logos you add yourself.
Tip — line things up. Use the designer’s “Reposition elements” drag view to place names and text exactly on the lines of the background, then fine-tune with the X/Y boxes for pixel-perfect results.

C. Control when learners receive it

  1. On the certificate activity, open Settings.
  2. Under Activity completion, set the conditions (for example, require the course to be completed, or a minimum grade).
  3. Optionally enable email the certificate to the learner and/or trainer when issued.
  4. Click Save and return to course.
Always test it. Preview the certificate as a trainer, then check it as a test learner (or use “Log in as”) to confirm the name, course, date, and QR code appear correctly before announcing the course.

Once published, learners earn and download the certificate using the steps in Section 11 — Certificates.

14.6 Edit mode

The Edit mode switch (top-right) turns editing on/off so you can add, move, or remove content and blocks.

15.Troubleshooting & FAQ

ProblemSolution
I can’t log in.Check your username/password and Caps Lock. Use “Forgotten password”, or contact your administrator.
A page looks broken or old.Refresh with Ctrl+F5 (hard refresh). Administrators can purge caches.
My course isn’t listed.You may not be enrolled yet. Ask your trainer/administrator to enrol you.
I can’t download my certificate.Make sure all required activities are complete, then reopen the Certificate activity.
The site is in the wrong language.Use the EN/SW switch in the top bar.
Text is hard to read.Toggle dark/light mode, or zoom your browser with Ctrl++.

16.Glossary (Definitions)
